Board & Committee Descriptions

Key Responsibilities

League President: The president also represents the league in the District organization. The president should be the most informed officer of the league. Each president must know the regulations under which Little League operates and in authorizing the annual application for charter, binds all members of the league to faithfully observe the regulations.

The president presides at league meetings, and assumes full responsibility for the operation of the local league.

Other responsibilities; attends monthly president’s meetings, organizes and facilitate monthly Board of Directors (BOD) and Committee meetings.  Completes league charter.  Ensure the charter fees and district assessment fees are paid.

Vice President: The same duties as president but on a back-up basis. 

The VP would also be responsible for organizing the Committees ensuring enough volunteers are available and tasks are being completed. 

VP would also be in close contact with the Coaches Division Coordinator (CDC) and player agents to help facilitate the selecting and drafting of teams, structuring of teams, fundamentals and ensuring required training is conducted. 

Vice President of Softball: The Vice President of Softball would also be responsible for organizing the Softball Committee and ensuring enough volunteers are available. 

VP of Softball would also be in close contact with the softball coaches' representative and softball player agent to help facilitate the selecting and drafting of teams, structuring of teams, fundamentals and ensuring required training is conducted. 

VP of Softball will work with the Treasurer, President and VP to prepare and submit an annual budget for softball to the Board of Directors (BOD).

Secretary/Information Manager: The secretary maintains a register of members and directors, records the minutes of meetings, is responsible for sending out notice of meetings, tracks and maintains a record of league's and BOD activities and progress.

Works closely with the PRC and PA committee is recording and tracking of all player information.

 Assign administrative rights to league volunteers and teams via Google and the Website "TBD".

Serve as primary contact person for Little League, manages all of the little league email addresses and documents.

Treasurer: Tracks local league finances.

Safety Officer: The Safety Officer (SO) would be responsible for ensuring that the South Boise Little League Safety Plan is updated each year and that the league is meeting all the requirements under the direction of President.

SO will also be responsible for submitting the Safety Plan (ASAP) to Little League International by April 1st.

Adequate safety bags for each team’s equipment bag and ensuring all of the safety supplies in each bag are up to date and the safety bags are fully stocked prior to equipment hand out.  The SO would also be the main contact for coaches if during the season their safety bags need re-stocked. 

SO maintains and updates all code of conduct forms.

Umpire in Chief: The umpire in chief provides training for all the umpires within the league.

Should have basic rule knowledge as well as being able to recruit, teach or train volunteer umpires and interpret rules. Train new umpires and/or managers/coaches for base umpires.

Be available to debrief after games if asked by those volunteer umpires that want an evaluation. Help the league to recruit umpires.

Player Registration Coordinator: Records all player transactions, requests, and maintain an accurate and up-to-date record of all teams, players, coaches, assistant coaches and umpires within the league throughout the season.

Tracks trading and/or release of any player, in general provides supervision of the player's information, maintains complete player records, trading and replacements, eligibility and team rosters to make sure we have a well-balanced league.

 Will assist the PA Committee with verifying proof of age, residency, conducting of tryouts, the player draft and all other player transaction and selection meetings.

PRC will prepare the Little League annually roster for the President's verification and approval for submission to the Little League Data Center by April 1st.

Coaches Director: Represents all coaches/managers in league.

 Assist the Coaches Division Coordinators in their responsibilities. Works closely with the president and vp's on the selection process for Coaches Division Coordinators, team managers, and coaches.

Oversees that mandatory pre and post season Coaches and Managers meetings are conducted. 

Concessions Manager: Responsible for the concession sheds at Liberty and any other location. 

Responsible for purchasing, stocking, inventorying and tracking all the items within the concession shed.  Maintains the operation of concession facilities per little league standards.

Sets the schedule for opening, closing and running of the concession stand(s). 

Responsible for the management of the concession sales.  Organizes, tallies and keeps records of concession sales and purchases to provide to the Treasurer weekly during the season.

Serves as the main point of contact for all concession related events i.e. Opening Day, End of Season Tournament, etc.

Sponsor/Marketing Coordinator: Maintains relationships with the league sponsors. Responsible for contacting sponsors via email and/or phone regarding new opportunities for sponsorship, opening day and fundraising events.

Seeks, researches and determines possible sponsorship opportunities within your league such as Grants, Registration Sponsor, Team Uniform Sponsor, Fence Sign Sponsor, Website Advertisement or Opening Day Sponsor. 

Track sponsorship donations and support during the season to simplify the fundraising process each year. Maintains an accurate and up-to-date record of local businesses that fall within our league’s boundaries and identifies the local business owner or manager and appropriate contact information for of all current, past and future sponsors.

Player Agent Committee (any and all levels): The role of the player agent in the Little League is one of the most important to the successful operation of a local league. They are the liaison between the players and parents to the BOD and coaches.

Will assist with registrations during the annual sign ups. 

During open registrations the PA committee will identify, contact and schedule all eligible players for that season's assessment. PA will assist in identifying and contacting potential coaches, managers, umpires and team volunteers.

PA work closely with the Background Coordinator to identify, contact and verify volunteers for the league and teams. PA's will request a volunteer checklist to be completed by each coach before the season starts.

The PA for Minors, Majors, Intermediates and Juniors will coordinate with the BOD, CDC and PRC in organizing the assessments for the selection of teams.

The PA for TBall and Rookies will work with the BOD and CDC to form those division teams

Assists the Coaches Division Coordinator (CDC) in coordinating Division Parent/Player meetings, completing of required paperwork, recruiting of team volunteers.

It is the committee's responsibility to schedule and hold Player Agent meetings. PA's are also responsibility for creating, organizing and distributing Coaches Binders. Promotes, distributes, organizes, tallies and keeps records of raffle ticket sales for the Opening Day raffle.

Coaches Division Coordinator Committee: Represents coaches/managers in their assigned division of the league.

Works with all the coaches to create uniformity across the division, delivers this to the BOD before the season to approve and post on the website.

Conducts required Little League meetings/trainings for their division; reviews SBLL Safety plan and rules, develop and provides fundamentals exercises.

Coordinators, promotes and facilities the unified division team and parent meeting at the beginning of the season.

Works with the BOD, PA, and Coaches to develop the game schedule for the season.

Field/Facilities Coordinator: Is a liaison between Parks & Rec, Borah, West Jr, Red Rock and the BOD. 

Responsible for ensuring the fields are ready for the season and little league requirements are being met. 

Determines and creates a proposal for what materials and/or maintenance are needed for the new season.

Conducts training for all coaches and field volunteers on how to maintain, and prep the field's pre and post game.

Opening Day Ceremonies Coordinator: Responsible for organizing all of the activities that occur on opening day. 

Background Check Coordinator: Ensures all volunteers have completed and passed a current year background check.

This information is sensitive and needs to be handled with highest level of confidentially. Any information that suggests that the volunteer isn't eligible should be brought to the league President.

The Background Check Coordinator (BCC) is responsible for working with the PAs in identifying, contacting and verifying volunteers for the teams. PA's will submit a completed volunteer checklist to the BCC so; he/she can confirm that all assigned volunteers are eligible. The checklist will also be used to recruit potentially volunteers for league events, committees, coaching, umpiring and for the BOD.

Practice/Game Coordinator: Responsible for ensuring game/practice schedules for all teams. 

The scheduler is responsible for conducting, developing and working with the BOD and CDC committee to create a fair and competitive season game schedule. 

Also responsible for coordinating SBLL fields usage for games and practices.

Website Administrator: Responsible for maintaining and promoting the SBLL's website throughout the entire year not just the season.

Develops content and ensures that the website content is update and operational on a daily basis. 

Manages and provide supports for the team pages i.e. merging of team roster, content standard per division.

Promotions Coordinator: Works closely with the Sponsor/Marketing Coordinator and Fundraiser/Raffle Coordinator in promoting sponsorship and marketing opportunities that have been identified and approved by the BOD i.e. Boise Hawks tickets, Albertson Open, Fred Meyers Rewards, Grants, Registration Sponsor, Team Uniform Sponsor, Fence Sign Sponsor, Website Advertisement or Opening Day Sponsor.

Develops and presents all marketing materials for the league i.e. league logos, jerseys, decals, banners, sponsor logos and any outward facing publications used for marketing the league for new and existing players, league events, registrations, opening day, opening raffle, sponsorships and.

Responsible for maintaining and promoting the SBLL Facebook page the entire year not just the season.

Uniforms Coordinator: Determines and creates a proposal for uniforms for the season.

Once the bid is approved the Uniforms Coordinator is responsible for compiling team, player sizes, sponsorship info, number and last name if applicable.

Orders and tracks delivery of all uniforms. Tracks and maintains an up to date record of all jersey corrections.

 Also responsible for ensuring all of the uniforms are delivered to the player agents and/or coaches when they are ready.

Equipment Manager: Determines and creates a proposal for the needed equipment for the new season.

Responsible for securing bids on needed supplies and equipment and make recommendations for their purchase to the Board.

Tracks and maintains a detail list of all the league equipment i.e. maintenance requirement, lost and/or stolen, damaged etc.

Schedules and coordinators equipment check in or out with coaches. 

Trophies/Pictures Coordinator: Determines and creates a proposal for Trophies and Pictures for the season.

Once the bid/proposal is approved is responsible for compiling, ordering, delivering of all trophies and picture.

Tracks and maintains an up to date record of all corrections.
